Ground Maintenance

As the landlord of a tenanted property you a responsible for the maintenance of the bushes, trees and shrubs.  We will advise you after an inspection if the garden could do with any maintenance and with your authority will book our gardener.  If you would prefer to do this work yourself we are more than happy for you to do so.  Whilst the property is tenanted the tenants are responsible for mowing the lawns, trimming the edges and maintaining the weeds.  However, if the property is vacant for a period of time you may be required to maintain lawns, edges and weeds to keep the property well presented.


General Property Maintenance

The office will handle any maintenance or emergencies related to your property.  The Management Authority details that the office can authorise any maintenance under $250.  However, anything above this threshold the office will contact you to seek your authorisation.


Locks and Keys

It is preferred that all owners provide Phoenix Property Management Limited with two full sets of keys for their property. Meaning there should be at least two keys for each locked door or window at the property.  One of these sets will be provided to the tenants, the other will be kept in the office.

 

Payments

Payments are made on the first working day of each month.  All rent received in the previous month are paid to you at this time, less maintenance and applicable fees.  All payments are processed by direct credit to your bank account unless agreed otherwise.

If you require payments more frequently an additional payment can be made on the 15th of each month.


Monthly Statements

You will receive a monthly statement at the same time your payment is processed.  This is on the first working day of the month.  The statement will include a breakdown off all rents received and expenditure on your property for the previous month. The statement total will match the figure credited to your account.  This statement will be emailed or posted to the address you have provided on the management contract.  If you have misplaced a statement please contact the office and we are more than happy to resend it to you.

Financial Year End Statements

These will be sent to you after the close off for the financial year end.  However, if you require another copy at any point in the year please contact the office.

Property Inspections

We perform an ingoing and outgoing inspection at the beginning and end of every tenancy.  We also arrange a property inspection with the tenants every 16 weeks from the beginning of their tenancy.  This can be increased if you require for your insurance policy.  You will be emailed or posted a copy of the inspection detailing any necessary maintenance once it has been completed.


Lease Renewals

We aim to contact you at least six weeks prior to the expiry date of the fixed term tenancy.  This is to touch base with you and confirm your intentions for the property for the next year.
